PRD/BOS Overview

DB BOS answers two questions that cost organisations money every month: who owns this client relationship, and where is that memo sitting. It holds both records under one access model, one approval engine and one audit log.

Designed for financial services, trusteeship, professional practices and any organisation where expenditure passes through several hands before payment.

Why approval workflow belongs in a system

On paper, an expense memo has no location. It is with somebody. Nobody can report on how long approvals take, which stage causes delay, or how many memos are open, because the data was never captured.

Once the workflow runs in DB BOS, those become ordinary reports. Finance can see the pipeline, management can see where requests wait, and the requester can see their own memo without telephoning anyone.

Configured to your policy

Approval limits, the order of approvers, which roles see which departments and which capabilities each user holds are all administrator-controlled. When your policy changes — a new threshold, a new approving officer, a new department — the change is a settings screen, not a support request.

PRD/CAP Capabilities

What it does.

Client database

Departmental ownership — each unit maintains its own client register Role-based visibility with cross-departmental access granted deliberately Edit requests routed to a line manager for approval Export controlled by dual authorisation Global search across every record a user is entitled to see Bulk client correspondence from within the platform

Expense memo portal

Automatic memo numbering and referencing Administrator-managed expense categories and cost centres Supporting attachments added and removed while in draft Bank details captured at submission so payment is never delayed Amount-based approval matrix with configurable limits Finance payment tracking through to settlement

Approval and signatures

PRD/FAQ Questions

Common questions.

Yes. Stages, thresholds and approving roles are configured by your administrator, and the supervisor stage resolves to each requester's actual line manager.

Approved memos export in formats accounting packages accept. Direct integration is possible where the package exposes an interface, and we scope that separately.

On infrastructure you control — your own server or your own hosting account. We do not hold your client data.

Yes. The two modules share the platform but are licensed and deployed independently.
